After two failed CTMS implementations over ten years, PharPoint Research did not go looking for a third off-the-shelf product. Instead, the North Carolina CRO, which has supported more than 1,000 clinical trials, joined Medrio’s Early Adopter Program and helped design the system from the inside out. That distinction matters for every ClinOps team that has spent months configuring a tool only to discover it still does not match how monitoring actually works.
The collaboration started narrow by design. Rather than cataloguing every possible requirement, PharPoint’s clinical operations team focused on a single monitoring workflow first. That sequencing let Medrio’s product team build one piece completely before moving to the next, and it gave both sides a shared reference point instead of a running wishlist. The working sessions went beyond demos: both teams built directly inside the system together, surfacing workflow gaps that a presentation would never have exposed. A shared action item log tracked every request and its resolution in real time, so nothing disappeared into an email thread.
What PharPoint’s team describes getting out of the arrangement is not just a better-fitted tool. Because they shaped the product question by question, they understand why the system behaves the way it does, which reduces the support burden when something unexpected happens. The three outcomes they named are concrete: the system matches existing workflows instead of forcing workarounds, the team does not have to adapt their process to fit the software, and they carry a level of understanding of the product they have not had with prior systems.
Medrio’s Early Adopter Program keeps cohorts small, keeping cohorts small so every member can work closely with the product team. Participation is by invitation. For CROs evaluating CTMS options, the PharPoint case suggests the more useful question is not which system has the longest feature list, but which vendor will let you help shape the workflows before the product is finalized.
